Guidance for Applicants

Eligibility

If you are submitting an application in 2012 you will need to make sure that you meet all the eligibility criteria by the application closing date.

There are strict rules about eligibility to apply for Specialty Training in 2012. You will need to ensure that you meet all of the eligibility criteria by the application closing date or date of appointment to post where stated. These requirements are clearly indicated on national person specifications.

Shortlisting

All correctly submitted applications will be considered. Those which pass the long listing stage ( which considers eligibility to apply for that post) will go on to be scored. Applications will be shortlisted against the nationally agreed person specification, using a scoring system. The top scoring applicants will be invited to interview. The Deanery will invite more people to interview than there are posts available as this makes it more likely that they will be able to make an offer that will be accepted.

Less Than Full Time (LTFT) posts

Working Less Than Full Time: Guidance for 2012 recruitment round.

  • Any trainees wishing to train on a less than full time (LTFT) basis must be assessed for eligibility by their Deanery prior to attending the interviews.
  • Trainees must contact the Deanery in closest proximity to where they live to be assessed for eligibility
  • Trainees wishing to train LTFT must indicate this on the equal opportunities section of the application form.
  • Trainees wishing to train LTFT will be required to bring their certificate of eligibility to work less than full time to the interviews.

Offers Process

Receiving Offers

Appointments to training programmes or posts will be offered to the candidates who ranked the highest in interviews. Not all candidates deemed eligible for appointment by their interview panel would be offered a post. This is because there could be several eligible applicants for a particular post, in which case, the post will be offered to the person with the highest score.

  • Follwing you interview, the relevant College or Deanery will decide whether to offer you a training programme.
  • You will be notified of offers via email or text.
  • If you are unsuccessful you will receive a message to let you know this.

Accepting, Rejecting or Holding Core/RTG Offers in Round 1

  • In Round 1 of recruitment to GP and specialy training, all first offers for Core/RTG will be issued UK wide by 9th March 2012.
  • You will have to make a decision to accept, hold or reject an offer within 48 hours (including weekends and Bank Holidays) of receiving one.
  • This year you can hold a Round 1 offer from any specialty while waiting for other offers in Round 1. You will only be able to hold one offer at a time. You will be able to hold a Round 1 Core/RTG offer until 19th March 2012 by which time you will need to mae a decision or the offer will deemed to have been rejected.
  • After 19th March 2012, you can only accept or reject offers.
  • Upgrades to Core/RTG offers end on 23rd March 2012.
  • After 48 hours have passed if you have not responsed the offer will be deemed to have been rejected.
  • If you are deemed eligible for appointment but ranked below the number of vacancies available, you could receive a Round 1 offer after 19th March 2012 if initial Round 1 offers are rejected by higher-scoring applicants.
  • If you are sure that a particular offer is the best for you, you should accept it.
  • Before you decline an offer, remember that recruitment is very competitive.
  • If you enquire about offers you may be told that an offer cannot be made to you at the present time, but if appropriate vacancies present themselves due to other applicants rejecting offers, you may be contacted in the near future.

Accepting a post

  • Once you have accepted a training post, you must withdraw from any further applications, interviews or offers.
  • All offers are made on the condition that you have not accepted other offers and that you withdraw from other applications within the recruitment round. You will be expected to give an undertaking when accepting a post that you have not accepted another post and that you will withdraw from further recruitment. If you do not agree to this undertaking then the offer will be withdrawn.
  • If it is discovered that you have accepted an offer after you have already accepoted another post, the offer will be withdrawn.
  • All offers made are conditional upon the necessary pre-employment checks being carried out successfully.
  • Once you have confirmed your acceptance of a training place, the deanery will match you to a specific programme/post. This will take into account the training and educational needs of you and others in the programme, the workforce needs of the NHS in Wales and your personal preferences.
  • Once this information has been confirmed, you will receive an offer of employment from your employer (subject to pre-employment checks).

Notice Periods

  • You must ensure that you give your current employer appropriate notice when resigning from posts. For example if you accept an offer of a post on 17th July 2012 you will be expected to commence work in August and complete your notice period. The notice period commences from the date you notified your employer.
  • Trainees appointed to Core Training, FTSTA and LAT positions are required to provide 1 months notice.
  • Trainees appointed to run-through and higher training positions are required to provide 3 months notice.

If you are unsuccessful at any stage you have the right to request feedback. For details regarding requesting feedback please see the guidance issued by the recruiting Deanery/Royal College.

Interviews

Please note variations exist between grades and specialties.

Your interview will last for a minimum of 30 minutes. The structure of the interview will vary depending upon the grade and may comprise of 3, 4 or 5 rooms. Each room will assess different skills or competences. For example you may be required to give a presentation or respond to a clinical scenario. The interview panel will have access to your application form, however they will not have access to the equal opportunities section.

Terms of business

The services provided by the Wales Deanery include a work-finding service for which there is no fee to the applicant, or the NHS employers that engage them. The Wales Deanery is authorised to act for NHS employers that are offering training posts as part of an approved junior doctor medical education and training programme, but is not authorised to enter into employment contracts with applicants on behalf of those employers.
